In Oracle Cloud Performance Management, determining worker eligibility for performance documents ensures that the right employees receive performance evaluations based on pre-defined criteria such as job role, department, location, or employment status. Eligibility profiles are used to manage which employees are eligible for specific performance processes.

Steps to Determine Worker Eligibility for Performance Documents:

1. Log in to Oracle Cloud

  • Use your administrator or manager credentials to log in.

2. Navigate to Performance Management

  • From the Home page, go to the Navigator menu.
  • Under the My Client Groups section, select Performance.

3. Manage Eligibility Profiles

  • In the Performance area, locate and click on Manage Eligibility Profiles. This is where you can define the criteria that determine which workers are eligible for performance documents.
  • You may also access the eligibility settings through Manage Performance Documents when setting up or editing a performance document process.

4. Create or Edit an Eligibility Profile

  • If you are creating a new eligibility profile:
    • Click Create to set up a new profile.
    • Give the profile a descriptive name (e.g., “2024 Annual Review Eligibility”).
    • Select the criteria that define which workers will be eligible for performance documents. Common criteria include:
      • Job Role: Specify job roles (e.g., Managers, Sales Representatives).
      • Department: Include specific departments (e.g., Sales, HR).
      • Business Unit: Define eligibility based on business units.
      • Employment Status: Determine eligibility for full-time, part-time, or contract workers.
      • Hire Date: Specify that only workers hired before or after a certain date are eligible.
      • Location: Choose specific geographic locations (e.g., US, Europe).
  • If you are editing an existing eligibility profile:
    • Choose the profile you want to edit from the list.
    • Modify the eligibility criteria as needed.

5. Assign the Eligibility Profile to a Performance Document

  • Once you’ve created or edited the eligibility profile, it needs to be linked to a specific performance document.
  • Navigate to Manage Performance Documents.
  • Select the performance process (e.g., Annual Performance Review).
  • In the Eligibility section, attach the relevant eligibility profile to the performance document. This ensures that only the workers who meet the criteria defined in the profile will be included in the review process.

6. Verify Worker Eligibility

  • To check whether a specific worker is eligible for a performance document:
    • Go to Person Management or Performance and search for the employee.
    • In their performance profile, you can see whether they are included in any upcoming performance review cycles.
    • Workers who meet the criteria of the eligibility profile will automatically be included in the performance document distribution.

7. Run the Eligibility Batch Process (Optional)

  • If your organization has a large number of employees, you can run an eligibility batch process to ensure that all workers who meet the criteria are included.
  • Go to Scheduled Processes, search for the Evaluate Eligibility process, and run it. This will ensure that eligibility profiles are applied correctly to all workers.

8. Communicate Eligibility (Optional)

  • If needed, notify employees about their eligibility for upcoming performance evaluations.
  • The system may automatically send notifications to eligible employees, or you can manually communicate eligibility status.

  • Eligibility Profile Name: “2024 Annual Review Eligibility”
  • Criteria:
