Enforcing the selection of valid grades in Oracle Fusion is important to ensure that employees are assigned grades that align with their role, position, or job. This can be achieved by configuring grade validations that restrict grade selection based on predefined rules. Here’s how to enforce the selection of valid grades:
1. Enforce Grade Validation at Job or Position Level
Oracle Fusion allows you to associate specific grades with jobs or positions, ensuring that only valid grades are selectable. Here’s the process to enforce this validation:
a) Navigate to Jobs or Positions
- Go to My Client Groups → Workforce Structures.
- Select either Manage Jobs or Manage Positions depending on whether you want the validation to apply at the job or position level.
b) Associate Grades with Jobs/Positions
- Search for the job or position you want to modify.
- In the Grades section, add the valid grades that should be associated with this job or position.
- You can add multiple grades if the job or position allows for different grade levels.
c) Enforce Validation
- Once grades are associated with a job or position, Oracle Fusion will enforce that only these grades can be assigned to employees in that role. If an invalid grade is selected, an error will be generated, preventing the assignment.
2. Grade Ladder Validation
If your organization uses grade ladders, you can ensure that only the grades within the ladder are selectable for employees assigned to the ladder. Here’s how to enforce this:
-
Create/Configure the Grade Ladder:
- Ensure that the grade ladder has all the necessary grades or grade steps associated with it.
-
Assign the Grade Ladder to Jobs/Positions:
- When defining the job or position, link it to the appropriate grade ladder, ensuring that the grade selection is restricted to those grades within the ladder.
-
Enforcement:
- Employees assigned to a job or position tied to a grade ladder will only be able to select grades that are part of that ladder.
3. Use Grade Rates for Further Validation (Optional)
In some cases, you may want to enforce not only the grade but also the valid compensation ranges for a grade. You can define grade rates and associate them with jobs or positions to enforce compensation guidelines.
a) Navigate to Manage Grade Rates
- Go to My Client Groups → Compensation → Manage Grade Rates.
- Define valid compensation ranges (min, max) for the grades.
b) Assign Grade Rates to Jobs/Positions
- Associate the grade rates with specific jobs or positions to ensure that employees’ compensation falls within the valid range for their assigned grade.
4. Set Default Grades for Jobs/Positions (Optional)
To streamline the process and reduce errors, you can also set default grades for jobs or positions. This ensures that when an employee is assigned to a position, the correct grade is automatically populated.
- Navigate to Manage Positions or Jobs.
- In the grade section, assign a default grade for the job or position.
- This will automatically populate the grade when assigning employees, enforcing the selection of valid grades.
By associating valid grades with jobs, positions, and grade ladders, and enforcing grade validation through system configurations, Oracle Fusion helps ensure that employees are assigned the correct grade based on their role.
We can restrict the grades to a position or job; the user will only have the option to select the grades associated to the specific position
