Supplier Workbench
This guide offers a thorough explanation of every section under the Supplier Workbench, including the incomplete details of the Supplier and the approvals pending for authorized Spend or changes to the Profile.
Click on the Navigator icon to access the Procurement module.
Click on the “Suppliers” submenu by expanding the Procurement menu.
The overview page provides visibility to supplier information in order to carry out tasks ranging from routine maintenance to event driven administrative responsibilities. In addition, the overview page contains reports that highlight supplier issues requiring attention and provides easy access to maintain and update supplier records.
Supplier Spend Authorization Requests identifies the status of suppliers with a request for spend authorization as pending approval or rejected. You can filter the data based on Pending days such as 30, 60 or 90. Further, you can export the data into excel by clicking on the Export to Excel option.
Supplier Business Classifications section identifies suppliers for whom business classification certificates are about to expire or have expired.
Suppliers with Incomplete Setup section identifies suppliers that are missing important profile information. From here, suppliers can be inactivated if it is determined that the supplier was created erroneously.
To complete Supplier details such as the address, contacts, tax information, and administrative contacts, click on the name of the supplier.
Supplier Profile Change Requests Pending Approval section identifies all the profile change requests pending approval such as supplier’s addresses, bank accounts, organization details and income tax.
Click on the Request number hyperlink to see details of the change request such as approver and initiator details.
To update the status of pending approval change requests or to refresh the data on this page, click on the Refresh button.
A variety of actions, including creating or registering suppliers, updating supplier records from the Manage suppliers section, and submitting the process of importing suppliers from the Interface table, can be carried out by clicking on the Task list. When merging two or more suppliers that you determine to be duplicates, use the Merge Suppliers tool. Purchase orders and invoices for the previous supplier can be updated to reflect the new supplier.
You can instantly search the suppliers by clicking on the search icon on the task pane, entering the supplier’s name and then clicking the magnifying glass icon.
Clicking the Search button will cause the Supplier Master to open in the Inquiry mode. To edit the supplier records, click on the Edit button. In order to go back to the supplier workbench, click on the Done button.
You can view the list of suppliers who have recently undergone changes or have a new supplier created under the last “Recent” section on the task pane.
